How do you keep track of your service records? (1 Viewer)

aCar / Fuely - I track everything here
Another vote for Fuelly along with folder with all receipts.
Did the same with my FJ60 before I sold it. New owner was seriously surprised that I kept that close of records. Fuelly will allow you to export a vehicle and all records associated with it (so fuel tracking too).

It's really a no brainer in my book. An app, I can export / import csv files for offline manipulation.

instant stats / graphs, alerts on upcoming service, etc.

Why has my mpg dropped? Why has it increased?
How much money have I spent on maintenance?
When is my next service?

Excel...no thanks.

I have a long-running build thread with dates and (most of the time) mileage at the time of service. I keep a binder of hard copy receipts in the garage so I can reference them, and keep a digital file of the same. I also have a spreadsheet with all parts purchased, and include labor if I have a receipt for labor done.

Hypothetically, if I were to go to sell my truck, I'd hand the buyer the binder of hardcopies, send them the digital files, and link them to my build thread. You'll learn way more than just "what" was done, but also the "why", by reading through that.

Excel spreadsheet, saved in OneDrive so it's available wherever I have my phone or computer.
My hardcopy file folder is now about 4 inches thick. I went electronic about 10 years ago.

+ 1 for a notepad in the glove box with a stack of receipts neatly folded up in the owners manual case

I use one of these for each car. Lives in the glovebox. I only track Date, mileage for the item, service performed, and parts description if other than OEM (think wits end).

Google sheets here for me as well. I also scan all my receipts and upload them to a google drive folder. When I sell a vehicle, I can download everything and give it to them on a flash drive or email or whatever.

Low tech, although some of the ideas above have me rethinking my approach . . . .

I've been historically pretty bad about keeping up with stuff with other cars. Trying to do better on this one. So far I've made an Excel sheet and saved it out in Onedrive. Thus far it's got a bunch of plans for rough timeline of the project moreso than stuff I've done, but I'm sticking pretty well to plan so far, and having a place to hang that stuff out will help. I always just take any tire, oil change, maintenance, whatever receipts and fold them in two and stick in the glovebox, no matter what car, so I'm sure this one will be the same.

I use the AUTOsist app in my iPhone...the free version for only one car. I keep track of fuel fill ups, all service records, and especially service reminders. Easy to use and also snap a picture of the receipt that is saved in the app. Can print out various reports as well. I went from stuff it all in the glovebox to a spreadsheet to this app...won’t ever go back.

Carfax app. Without it I wouldn’t get the airbag recall notification for MY06 Lx. I max out all the pictures for receipts and parts (it allows up to 4 pictures that can be uploaded per entry).

Ended up going with Google Sheets. I use it a lot for work so I felt pretty comfortable with it, it's free, and I can customize it as I go. I use the notes section to call out any big ticket items along the way.

I logged all the service history from me, the PO, some stuff from CarFax and some stuff from Toyota Owners site. Feels good!

Looking forward to add to this as I go. Any suggestions welcome.

25k miles outta new brakes? Yikes.

If you have an iOS device…

Road Trip

I have been using this for close to a decade; originally to track fill-ups and maintenance with my TDI and now my LX.

When I sold the TDI I exported all the data and sent to the new owner so he could load it up in the app and keep on trucking.

I also keep a folder of any paper receipts or invoices as a form of “backup”.

I scan shop service records and parts purchase receipts and save them in a Dropbox folder. I use Notes app on my phone to capture service mileage/what was done and will find the time to drop everything into a spreadsheet someday.

I made an excel sheet that helps me keep track of performed maintenance and scheduled maintenance for my LX 470. I posted a tutorial for how to use the file here:

You can download the excel file here: 152.2 KB file on MEGA - https://mega.nz/file/jhl10KDL#riYGOooRHxYn70LwS0i4kVxGlqSQ5d5ENYKAaLuHrh0

Or you can use the Google Drive link here:

If you open it with Google Docs, it appears my Macro for auto-sorting column E doesn't work, so you'll have to sort that manually through Google Docs, assuming it allows you to.
