Capital Land Cruiser Club Meeting Minutes from May 7, 2025

Introduction of New Members and Guests.

Secretary’s Report: April meeting minutes were submitted for approval.

TLCA BOD Report (APRIL 22): Clubs should apply for TLCA grant money for trail cleanup, etc.

CLCC Treasurer’s Report: April 2025

Old Business

  • Jake’s neighbor has a metal working setup and plasma cutting table (and a seriously strong metal brake) that is looking for projects. Talk to Jake about contact info.
  • Fall Crawl event/t-shirt design: anyone can submit a design, get it ready for the July meeting. We will find out from ReefMonkey what format he needs.
  • Carolina Relic Run: how did it go?
  • 2025 Swap Meet: approximately 20 trucks showed up, generally considered by attendees a successful event.
  • John Vee’s new nickname is “Meat Snacks.”

Upcoming Events and Activities:

  • Wheeling at The Cove: Big Dogs event “Spring Fling” (6/20–6/22)
  • Tech Day at World Tour Off Road in Annapolis June 21 (Sat) 10–4pm. There is a thread on Mud. Thanks, Bart, for setting this up!
  • Cruiser and Crabs event. June 14. We are hosting a crab feast for CLCC members at 2460 S Shore Dr., Port Republic, MD. The club is picking up the tab for the crabs. We will ask attendees to bring a side dish or dessert (not mandatory), Kevin will setup an online signup. More information is on the Mud thread. The menu is now set, and we are gathering RSVPs before the 1JUNE date. 22 so far.
  • Fall Crawl on 10/24–10/26. Let’s have some milestones/topics for the July meeting.

New Business

  • CLCC bylaws voting. If you didn’t vote online (on Mud) you may cast a vote. The proposed changes were approved by in-person and online voting. Kevin will ensure it is posted and reported appropriately.
  • Paul (“TTViper” on Mud) is moving to Colorado.
  • Enrique (“Sargy” on Mud) is moving to North Carolina.

Other Noteworthy Discussion

  • There may be another trail cleanup this year; chainsaw courses have been full.
  • Discussion about how to develop the annual Swap Meet event into something bigger.
    • We should market it and strategize planning more like a truck show/cars-n-coffee, drawing a bigger turnout.
    • Ahmad: look into whether Toyota of America might sponsor the event.
    • Have the event earlier in Feb/March.
    • Look for a different venue, like the Bluemont Station Brewery (Bluemont, VA) or Ornery Beer Company (Manassass, VA).
    • Have final plans for next year SW by the last club meeting for Fall Crawl (September); make the SW planning a recurring agenda item so it remains a priority.
  • By June, have the FC shirt/sticker design and submission process established.
  • RSVP for the 6/14 event by 1 June.
  • We need to meet with “Wallace” the POC from the Cove, regarding pricing for the event.
  • Proposal to purchase a 10X10 canopy tent was submitted and approved by vote.
  • Proposal to purchase pack out containers for club gear (used mostly at FC) was submitted and approved by vote.
  • In addition to Paul and Enrique moving out of state, our friend Anthony the Aussie is moving too (to Kentucky). You guys will be missed.
  • John S: the FB page was locked, Ahmad stated that he will update it.
  • Discussion about a summer wheeling trip to Good Evening ranch in WV in July. (Deconflict with other July GER events.) Ahmad will start a thread on Mud for it.

Meeting adjourned at 2103 hrs.

Hi all,

I attended some meets about a year and a half ago, if any of you recall. I will be at tonight's meet, but my mom and I have decided we will sell our LX470. It's a 2000, with 206k miles. I'll make a complete 'for sale' posting in the coming few days, but I'll have the truck at tonight's meet if anyone is interested in taking a look. I'm excited to see you guys again!

Edit: Something came up so I won’t be able to attend tonight. I may see you guys next month instead.

Looking for photos for the ‘Gram, send to social@tlca.org.
CLCC Treasurer’s Report: August 2025
Old Business:
· Buy canopy and other stuff: Get the HD 10x10 unit. also, the rigid storage boxes. Chris shared a photo (in our group chat) of the unit we will get. There was a parking lot convo about using funds for a medium-sized trailer (long-term parking is an issue). We would have to figure out registration and insurance, might require the club 501c3 status to be looked at/renewed (John Sourbeer has some previous experience with this).
Upcoming Events and Activities:
· Tech day at OTRAMM? Ryan offered to host a tech day at his shop. What Saturday in August works best (and alternative date)? Was 8/23, now probably 8/30.

· Planning: Steering committee will have a group call on 9/2 if necessary. Doesn’t seem necessary.
· Marketing: Flyer has been posted on all Mud club pages and TLCA.
· Sponsorship/vendor outreach: Did Ahmad get a helper? Ahmad wasn’t there to coordinate with. Rob Matzell can order us a set of tires at cost as grand prize. Do we award a voucher for P/U at his location? Voucher for P/U. Pay for shipping? Is this too much work for a prize?
· Insurance: Stump and TLCA.
· Cove meeting: to discuss dates, pricing (flat rate per person for Fri–Sun?, what about early arrivals on Wed/Thurs?), and entry procedures (wristbands, entry card in vehicle, etc.) I think they said meeting on 8/21.

· Logistics/club gear: Does Chris have it all?
· Event check-in: Fri: 5–8pm, Sat: 8–10am and 3–4pm. Sign release/waiver (Do we need an emergency contact added? Yes, Kevin will look at forms), get t-shirt and swag.
· Firewood plan: Discreetly bring your own stash.
· Trail leaders: How many do we need?
· Saturday BBQ: Jeff will honcho (will get meat and supplies), other helpers? Plan for ice and cooler storage? Ask people to bring extra bags of ice.
· Raffle: Pres and VP. Faith has buckets for tickets, do we need another roll?
· Set-up/teardown: Early folks set-up on Friday, group effort to break down on Sunday.
· Tech inspection: Jake volunteered. We will need at least 1-2 more. Use bingo markers.

· swag materials: Cup, raffle ticket, t-shirt, stickers.
Other notable topics:
· Stump will open registration page (Kevin and Fred) for review and editing. Stump wasn’t in attendance.
· Get special CLCC tumblers as swag/merch? No action on this.
·
Stump will share his FC files. Stump wasn’t in attendance, we still need this to happen.
· We will have an updated dues roster for September.
· Navigation company OnX has funds for clubs performing trail maintenance. (Chris B.)
· Matt C. and Liam went to “Cruiser on the Rockies” in Colorado and report that it was an awesome experience.

Vote for event and t-shirt design. The design with the 100-series won the vote for tshirt, we will use the 60-series design for the sticker.
GER coordination meeting. Didn’t happen formally, but the guys met and talked about group meals and possible convoys.
