It's that time of year again when we go over the club's business from the past year and plans for the club's future.
Meeting to be held at Wellesley Toyota Scion - 234 Worcester St Wellesley, MA 02481
It's the newer building on the right if your standing in front of the two buildings on their property.
Free lunch at noon provided by Wellesley Toyota.
Lift time available after lunch for those who need it.

*Board of Directors restructure-
This year I would like to propose a change in how our Board of Directors operates.
I believe our membership director role and our treasurer's role should combine.
Reason being at the moment when a new member wants to sign up they contact the membership director and then-
They mail the membership director the application and for most cases a check.
If they pay in paypal it can cause some confusion to the treasurer because the treasurer may not know what the payment is for (though that's easily traceable).
Then the membership director adds the member to the roster and then either has to mail or deposit the check for the treasurer.
Then the membership director contacts me to mail out membership packets.
If the roles were combined it would really streamline the membership application/payment process a bit. Though it does add a few more responsibilities to the treasurer's role I still think it makes the most sense.
I will propose this change at the Spring meeting and we can open it up for a discussion before a vote.
Fall Gathering Chair-
To fill the open chair (if passed) I propose the club should make a "Fall Gathering Chair". This position would coordinate with all other officers and volunteers to help run the club's flagship event.
There's a lot of work that goes into the Fall Gathering every year, if someone put a year's thought and work into it and was able to delegate responsibilities to other board members I think it would make things run much more smoothly.
It seems that the BOD starts to really ramp up the FG stuff in July but honestly so much more of the work and details can be done over the slow part (winter) of the season rather than in the summer when our spare time is at a premium. Just a thought and I would like to open this matter for discussion as well at the meeting.
At this point all but the Trail's Director position are available for nominations or are open for a volunteer to step up and take on a position.
President-
The President shall preside at all meetings of the club and Board of Directors, enforce all laws and regulations of the club. He/she shall perform such other duties as shall be imposed upon him/her by resolution of the Board of Directors. The President shall, with the Secretary, sign all written contracts and written obligations of the club. The President shall have the power to appoint committees whenever it becomes necessary. The President shall appoint a Sergeant-at-Arms at the beginning of each meeting (unless the clubs chooses to and elects a Sergeant-at-Arms board member).
Vice President-
In the absence of the President, his/her duties shall be performed by the Vice-President. In the event of the death or disability of the President, the Vice-President shall assume the duties of the President for the remainder of his/her term and the Board of Directors shall appoint a member of the club to fill the Office of the Vice- President until the next general election.
Secretary-
The Secretary shall keep minutes and other official reports of the club. The Secretary shall keep records, books, documents and papers relating to the club in such place as shall be designated by the Board of Directors. The Secretary shall perform such other duties as may be assigned by the Board of Directors.
Treasurer-
The Treasurer shall keep account of all monies received by him/her and deposit same in the name of the club in such bank as designated by the Board of Directors. He/She shall not pay out any money of the club except in such manner and for such purpose as shall be authorized by motion or resolution of the Board of Directors. The Treasurer shall not be responsible for money or funds the club paid out or disbursed upon checks or vouchers therefore which have been properly signed by the Treasurer, President, or Vice-President. At each monthly meeting of the membership he/she shall make a statement of the financial condition of the club, and the membership shall, by motion, approve said report, and at the ANNUAL Meeting of the club, he/she shall submit a detailed report of the financial condition of the club, by accountants or a finance committee designated by the Board of directors.
Assistant Treasurer
The Assistant Treasurer shall assist the Treasurer in keeping account of all monies received by the club. In the absence of the Treasurer he/she shall perform any and all fiduciary responsibilities of the club. He/She shall be bound by all rules and duties of the Treasurer. He/She is to report to the Treasurer any and all transactions as soon as time may allow. The Assistant Treasurer shall have access to all bank accounts, monies, and ledgers for purposes of succession in case of death, accident or any other malady that may prevent the Treasurer from continuing such duties.
NEA Delegates-
Attends NEA meetings and frequents the NEA forum and reports back to the club on issues and pending votes.
The NEA delegate will also vote on behalf of the club when needed.
*Logo Change? (new club T)-
I like our logo but have some feelings that it should be updated and not necessarily changed.
I am not opposed to a logo change either though.
I would like a discussion on this as well and would love to hear your thoughts.
We are out of Club T's for new members!
I think that's about it. I know it's a tough long read but it is what it is.
The club desperately needs volunteers. If we do not have more involvement and help it will be felt at this years events and at the Fall Gathering.
I know we all lead busy lives and have commitments with our family and at work but there are many positions available that don't take much time or the jobs can be "what you make them".
