As we approach the coming months of the Spring Tide Ride I would like to get the ball rolling on all the committees to insure we have a well planned out event much like we did last year. Thanks to all who helped last year.

I would like those committee chairs to get with the individuals involved in said committees to try and pick a time to get together and gather thoughts and ideas. I know some of you have already started on this and that is great. If you haven't please start in that direction.

This event was truly spectacular last year and as mentioned it was because of the planning that went into it, lets provide all the help we can to ensure this "Mock TLCA event" goes well for future sanctioning and get things moving.

I want to repost this, as the more I thought about it, some of my "chairs" may not realize I volunteered them at the November HAMOM. I think the original post got moved before everyone could read it....

Registration Committee
Maintains list of those registered, billing, vehicle information, etc.

Promotional Items Committee
Coordinates design of documents & purchase of items for sale or give-away at the event. Printing of registration packet, T-shirts, Sponsorship Kit etc. (not including sponsor’s donations for raffle prizes)

Sponsorship Committee
Finds sponsorship for the event both local & regional. Acquires logos, give-away items, identifies discounts and what ONSC will provide as a result of event sponsorship.

Food & Accommodations Committee
Coordinates & reserves accommodations in areas determined on the Itinerary, determines, orders/ acquires food for group meals as determined by the Itinerary books , coordinates with Registration committee & sponsorship committee as required to obtain financing & discounts.

Activities & Entertainment Committee
Facilitates activities as determined on the Itinerary, coordinates activity leaders, supplies, etc.

Advertisement Committee
Maintains website, mud and facebook posts to provide consistent & accurate information. Coordinates all other committees to obtain/provide information to others in the Club, OBX community, sponsors & TLCA.

TLCA 2011 Sanction & Toyota Trails Committee
Obtains information from the trip to pursue TLCA sanctioning in 2011 and possible article in Toyota Trails or TLCA website, trip journals

Toyota Tech Committee
Provides assistance to registrants with operational difficulties during the trip. Works with sponsorship committee to notify local auto suppliers of our trip. Coordinates with registration committee and Safety Chair to verify that all rigs on the ride meet basic club safety requirements.

I have addressed the misspellings of names in the secret special section....

If anyone does not want to participate in the sections, just let me know, I was brainstorming who would do a good job in each section on my way home from Harlan...

April is fast approaching don't we need to be booking spots and inviting other clubs right about now?
 
inviting other clubs at this point is up to the number of registrants ONSC recieves with it's current members per the last discussion
 
That's what I am saying we need to find out how many of our club members are going within the next week or so, so we can then open it up to other clubs.
 
Event postcards will be mailed out to all club members and past club members that we have a current address for. Since some don't check Mud or the website, I figured this to be the best way. On the postcard will be info on how to "reserve" a space...
Once we have this info we can go forward with inviting MATLCA, UC, and then other clubs... If people want to go ahead and email someone in the registration committee (Jon, myself) that is fine... We'll get the actual details and price later...

I want everyone to know don't register unless you're ~90% sure you're going. I'll put the date of End of January to "reserve" a space to determine how many slots to open up to the other clubs. The tentative space alotment was 50 "families" or 50 vehicles. Extended Family members of ONSC members are invited but will also count as one vehicle, and doesn't have to be a Landcruiser.
