I need to be very clear about this:
To set a date, we must book the venue.
To book the venue requires 50% down as it relates to a headcount.
Hypothetical situation:
If we book for say 100 people, at $200 a head this means a $10,000 non-refundable deposit is required...Since I personally don't have that kind of funds, nor does my chapter, TLCA would have to front this. Before I ask TLCA to do so, I'm gonna need to get at least 50 folks to preregister before I feel comfortable with this. It's my plan to have an October date set, and call for preregistrations in the Jan issue of TT. If we get enough people preregistered to have an event, then I'll make a deposit and book the venue.

I really see no other way to make this happen that doesn't put a substantial amount of TLCA funds at risk.

I think it will be a really fun event and well worth doing, but expensive. I need member committment to attend to make it happen!

Good questions! I believe they quoted 50 as a minimum, but I'll have to follow up on these...
Also, we need to know who wants driver's school, what level of catering we want....

Also good q's.
At this point, prices (as nebulous as they are) reflect only what the venue is charging TLCA. I can't see your new baby eating much if any buffalo, so I imagine you could skate there.
I'm not sure what the Sayersbrook folk would charge for "additional passenger meals."
Another good followup q...

Hey!! This is the producer of the Legendary Land Cruiser documentary, is it possible to set up a small presence at your event? I would love to come down and take part and maybe even set up a small "booth" about the video if I can?

I think you should contact each event. If this happens yes you are more than welcome to come booth or no booth.

I would love to do it, but I don't know if I can swing that much cash. 200 per person = 400 for me and wife. How many days is the prices for and what extra prices might be involved (Off roading ect...).

I would really like to go. however I will need a whole lot more detail before I can commit to that kind of $.

Right now we're gathering info on "If we build it will they come" so I agree.. We will provide a ton of data on what all is included with what pricing etc.. The hardest thing we're trying to figure out is if we put down this deposit we pretty much gotta do it or we're not gonna make it.. It's scary for us, we are just guaging interest, then Chef and the TornadoAlleyCruisers will get it organized totally..

I'll come set up a booth but I am going to need to see what kind of interest there is to commit that kind of cash, not to mention its a long way to drive. But if it looks like a lot of people are coming out and they are interested in the documentary for sure I'll be there.

Just back from Rubicon, and leaving again for another week, so brief answers:

Cost is "as yet to be determined," but this venue runs "higher end events," and cost will be in large part determined on how we have them cater meals, whether folks want driving instructional courses available, etc.

There has not been much feedback in those regards.

Elliott, you've got email....

Look for more details in January TT, and here. We have quite a bit to work thru to make this happen, but I *really* want to do this....

Has a date been firmed up yet for this event? I am interest in attending, but need to book the time off now and am coming from Ontario.
Thanks, Dave
