Annual Meeting - 1/26/2013​

• GCLC Vice President OB called the meeting to order and started with general introductions by all in attendance. 46 adults and a couple kids.

• 2 BOD members were absent from this meeting. GCLC President Rich Casella was ill, and GCLC swag manager Mike Stevens couldn't attend.

• GCLC Yahoo mail list is the primary means of communication within GCLC. If you're not on the GCLC mail list, you're not up to date on GCLC activities.

• Introduction of Bob O'Connell, President of Yankee Toys.

Financial report by Jon

CMCC 2012

• Due to low turn-out at CMCC 2012, there was an approximate loss of $1,000 for the year. CMCC income along with membership dues funds the club for the year.
• Total cost of CMCC 2012 was approximately $8,200.
• GCLC is in good financial shape and could withstand 2-3 more years under similar circumstances without impacting the membership benefits.
• The lower turn-out at CMCC 2012 was likely due in part to the July 4th holiday and conflicting events on the East Coast. To that end we have moved the 2013 event one week further into July, 7/17 - 7/20.

Dave's Place

• GCLC has been having gatherings at Dave's property twice a year for the last 10 years. This past summer, we received word that his chainsaw was broken so the BOD elected to purchase him a new Stihl Farm Boss for approximately $400. Dave and his dad were speechless.
• Typical cost of Memorial Day and Labor Day weekends cost $5-700 per year between porta-potty rentals and other expenses.
• Gatherings at Dave's Place are provided by GCLC for GCLC members at no cost.

Membership report by Mark

• Currently 40 active members.
• Registration will be open for new/renewing members following the meeting.

Food. Lots of it.


CMCC 2013

• Reservations for Rausch Creek Off-Road Park and Twin Grove Campground are finalized.
• Dates of event to be July 17th through July 20th, 2013.
• The GCLC BOD has elected to keep CMCC as a 4 day event for at least one more year.

Vendor coordinator update with Marie

• Introduction of Rich's vendor database
• Discuss process for soliciting vendors for possible new volunteers
  • Ended up gaining 4 new volunteers for vendor solicitation.

Event calendar for 2013

• FJNE Run (Rausch Creek) - 3/29 through 3/30
• Dave's Place (Cairo, NY) - Memorial Day weekend
• CMCC (Rausch Creek) - 7/17 through 7/20
• Dave's Place (Cairo, NY) - Labor Day weekend
• Rami's Place (Fine, NY) - end of September/early October
• YT Fall Gathering (Hancock, NH) - 10/11 through 10/13
• BBRC Fall Crawl (Gore, VA) - 10/25 through 10/26

TLCA update by Tom

• Moving forward, all Toyota owners who are members of a TLCA sanctioned club, must be members of TLCA to be eligible for TLCA event riders. As only a handful of GCLC members are not currently TLCA members, a suggestion was made to join the TLCA
  • If a member does not own a Toyota, then it's not necessary to be a members of TLCA
• Benefits of TLCA membership were discussed.
  • Vendor/hotel/etc. discounts

Election of officers

• No current officers of members of BOD were stepping down
• No nominations from the field
• More trolling for help with vendor soliciting

Raffle

• Children's Raffle - every child received a prize. Thank you JP Robinson
• General Raffle - every adult received 1 free ticket. Prizes included IronMan 4x4 recovery kits, HAM radios, bottle of "Moonlight Marinades" classic recipe, exotic olive oils and balsamic vinegars from "Olive That And More", shirts, etc.
