A proposal has been presented to TLCA regarding a national midwest TLCA Open Event. Chris, Rob & I were on a 2 hour conference call last night with packman73 and a few others from midwest clubs, hashing out details of this event. The end result of this discussion is as follows;


Proposed TLCA Mid-Central Chapters Open Event for 2009

Several members of Tornado Alley Cruisers, Tall Corn Cruisers, Green Country Cruisers and Cottonland Cruisers have met and developed an idea for a collaborative Mid-Central States TLCA Open Event for Fall of 2009.


  • We are proposing that the event be held the last W-Su of September or the first W-Su in October. This event could be held every other year, with the normal chapter events being held on even years.
  • We are proposing that this event be held at SMORR (Southern Missouri Off Road Ranch) in 2009. This event could be held at other parks in the area (Flat Nasty, Hannibal Rocks, D-Day, Superlift, etc), should the event be done again.
  • We are proposing that the clubs join forces to form the event committee and sub-committees thus evening the load of putting on such a large event.
  • We are proposing that we do not limit what Toyota based clubs can be involved, we would like to see TTORA and FJC Clubs participating in this event as well.
  • We are proposing that the TLCA help us facilitate and coordinate our efforts in developing and promoting this event.
  • We are proposing that we make an effort to do some philanthropic project at or before the event as a group.
  • We are propsing that we market this as best we can, being inclusive in our efforts to reach not only the hardcore wheelers, but the folks that are new to this sport/hobby and even those that just want to come out and see what it's like and not necessarily wheel.
  • We are proposing that TLCA members would get a discount for early registration for this event.
  • We are proposing that part of the proceeds from the T-Shirt sales will be distributed between the Blue Ribbon Coalition and the Susan G. Koman Foundation
  • We are proposing that this is going to be a great event, that will not only bring our chapters together, but bring families together for a great weekend of TLCA fun!
Please take the time to discuss this with your clubs. If you have any questions, there is a thread "insert link to main TLCA event thread here" open for discussion. If your chapter is interested in participating in this, please contact Art Schramm packman73 @ gmail.com to be added to the event mailing list. We will working on this collaboratively online through the mailing list. We would like to get rolling on the marketing of this in the next few weeks, with registration beginning the first of the year.

Our goal here is simple. Bring together those that love their Toyota 4x4's for the common purpose of having family fun and enjoying each other's company.

In general I think is a very good project that TAC should, not only participate in, but take a VERY active role in seeing that this is successful event for TLCA and TAC, Gateway Cruisers, Green Country, Tall Corn, Razorback, Cotton Land & TTORA-Arkansas. This is of course just one opinion and I'm posting it here to open the discussion with the club in general.

Please post up your opinions, comments and concerns and hopefully we can have any and all concerns addressed by the annual meeting.

First question goes towards the cost of TLCA's insurance for such an event. Seems like clubs are charged an enormous amount to hold an event on private land that already has full insurance coverage.

Otherwise; it's closer, larger, actually has shower and bathroom facilities, and getting electric hook-ups. Very cool.

I vote for the first weekend in Oct, but it should be cool enough if it were a week earlier.

Something else to consider, our event had the best food of any other event I attended. However, it was a great deal of work for the members that contributed. But if they were willing, and reimbursed, would that be another possibility?

The ball really needs to be rolling prior to our annual meeting, with routine updates, so as to avoid any last minute panics for raffle items.

There also needs to be trail schedules, set times for set trails. If things go through I would be willing to help here as I get frustrated with the lottery wheeling.

This has the potential to be a huge event :bounce::bounce:
 
It sounds like SMORR has someone to do the catering. The quote was $5 a plate... not sure for what. SMORR will also be leading trails. I'm sure we can schedule 'em.

Art has or is planning a raffle committee to handle raffle items.

There was some discussion about day trips up to Flat Nasty, Branson, canoeing etc. I'd be up for a one or two day trip to FN and maybe a day in Branson as well. I'm not big on water sports unless I can fish while y'all are paddling :hillbilly:, proly cause I don't float......
 
I believe that they are planning on getting members form each sponsoring club to provide trail leaders. Since the park is planning on taking care of most of the business associated with running one of these events ( cooking, lodging, camping and set up), Art is hoping to get the clubs to help with the trial organization
 
I attened the SWFWDA Spring Quarterly there in April 2007. Had BBQ. Plenty more than you could eat. Also ate at the B&B one night, also very good.

I talked to the park Manager/Owner Brandon yesterday and of the two weekends we were looking at, only September 23rd-27th were available (which he has penciled in for us). The following weekend he has a giant north/south woods racing competition scheduled.

Also, it sounds like most of you that have posted are interested in this, however I don't want to assume anything. Once we've given the chapters some time to discuss this, we would like at a minimum 2 "delegates" from each chapter wanting to have a hand in this for the event planning committee. The committee will meet via e-mail, and it's important that the folks that are on the committee have the time to participate. We don't imagine this will take a lot of time, however, we don't know yet. We would like to get the registration and flyer pieces done sooner than later, and then move on to the raffle and logistics at the event.

Food: Brandon is working on pricing right now and is contact with a competition BBQ cook in regards to doing the catering of the meal for us. I asked Brandon to get us pricing for 200 people as a start and asked that we try to keep it at $5/head. That'll give us a little wiggle room as most meal ticket prices that I've seen in the past are usually $10 (someone correct me if I'm wrong).

Thanks for your comments on this, we really hope to see as many chapters in the area get on board with this. We really want to make this an event that's fun for all those involved and not too much work at the event.

Not been much discussion from club members on this........ Either nobody has an opinion or just don't wanna share it.

The thread was started to discussion don't hold back it needs to be discussed. Y'all won't piss anyone off by tossin' out opinions.

I'm gonna go back to smokin' (another) turkey and get ready to fry one tomorrow.... Think I'll have another Jim Beam & Coke first....... :hillbilly:

My only thought is something with Midwest, Mid-States, or Central States, but Mid-Central seems a little redundant. That's only because I work in the Department of Redundancy, Redundancy Department.

I will be doing a pre-run exploration trip to SMORR this Saturday along with a few other Toyota trucks if anyone is interested.
