Exclamation Club Meeting Woes: Proposal

Guys,

In the thread titled “Next Official Meeting 2/17/07” there have been some issues in regards to making scheduled meetings……..

Here is my .02 as an elected club official.

1 We have established that life and geography get in the way of and club meetings
2 That we are all interested in this club for different reasons, some of those are for fun technical and wheeling.

Here is what I propose:

First: As long as there are no TLCA minimums meeting requirements lets say we officially meet 4 times a year, once per quarter. These 4 official meetings are in by no means mandatory for any club member’s other then elected officials. That way we have less of the decisions making peoples schedules we need to work around to put something together.

Secondly That 2 of the 4 meetings is Family Oriented. I don’t have a count but I think the majority of members have children. The other 2 be technical meetings where we try to accomplish club business and something mechanical. I will address trails rides but that will come later.

Finally that for 2 of the 4 meetings we meet half way somewhere. Ohio has a lot for people to do no matter what time of the year it is. It looks like Marty is willing to travel so that makes things easier. (Marty if I am wrong please speak up) Columbus is about as close to the center of the state as you can get (Centerburg is the geographic center); however I would say that over half of the people that hold interest in the club are from the Cleveland- Akron Area. I think in order to appease everyone will all need to give a little.

Suggested Meetings: Only Elected Officials have mandatory attendance. The rest of the club members are not required to attend it is suggested as not much of a club can exist with out members.

Family oriented: Have enough activities to entertain family members and make it a good environment for everyone. I would suggest to prevent headaches these family meetings should not have alcohol.

Winter: Holiday Party. This could be one of the family oriented meetings I suggest at the very least we come together and Have a pot luck dinner. Possibly have a Gift exchange somewhere in the 15-25 dollar range. At that price there are a lot of good things for camping, wheeling, auto or tools etc. I may have place to do this type of event in Mt. Vernon come December but I am unsure I need to find out more details. We need to do try to do things low cost to the club as we only have about 700 dollars until we can generate new membership funds.

Spring: A technical meeting taking at a member’s home garage shop etc takes place in either Columbus or Cleveland-Akron. At this meeting the Club should be able to cover food such as Sandwiches or burgers. BYOB

Summer: Family Oriented Camp out Canoe Trip at Mohican. This is about ½ between Columbus and Cleveland we could try to have the club absorb some of the cost of this meeting possibly by covering food. I think that it would make for a nice family experience as well as let all of us get together to have fun and do something outdoors. More Details Can is discussed closer to the season.

Fall: A technical meeting taking at a member’s home garage shop etc takes place in either Columbus or Cleveland-Akron. At this meeting the Club should be able to cover food such as Sandwiches or burgers. BYOB (this meeting should be in the opposite location of the spring meeting.)

Trail Rides. I would say that as far as a trail ride goes we say that Sanctioned TLCA events are official trail rides for the club. These events are typically we organized and a lot of fun. Also by attending these rides we can leave it to just a trail ride and not have any club business discussed. I think we can have unofficial club trail rides if any group of members wants to. The only thing I suggest for the unofficial rides is that there is an open invite posted on the forum board and that people take a few pictures of the ride so we might be able to use them for recruitment.

Other Functions. Outside of the 4 club meetings any other functions should just be posted as an open invite to any club members or people on the board they can then make the decision of the would like to attend or not.

Please feel free to make suggestions. This is just an idea of what we can do. I am only trying to overcome the problems of Life and Geography as well as different interests.

- Jason

Jason,

I like your suggestions alot and think they will work well. We have elected officers and they are responsible for the direction of this club. I overstepped my bounds by suggesting the date of the 17th in the first place.

Way to go Jason. The most important thing I think we can do as a club is stay in good standing with the TLCA. It took alot of work to get there and it should be preserved.

We(TLCA BOD) faces the same issues you are outlining here.

I think a meeting of the officers quartely will be a stretch honestly. Conference calls are the way to go and get things done IMO.

Our Bylaws dictate we have one formal meeting per year in the first quarter of the year...we won't make that requirement this year and that's okay. We may want to revise them (bylaws)

Part of my job as Secretary is working with each club maintaining there CGS Forms so whatever help or anything you guys need..say the word and can tell you what other clubs are doing also.

I think before guys go postin here and offering suggestions...they need to ask themselves this question "What do I bring to the table for the better of the club?" and if the answer is "Nothing" then shut up..

I am willing to travel when I need to. I don't expect 10 people to come to cincy to see just me or 1 other person. I'm Cbus every once in awhile b/c my parents live there. I am even willing to go up NE OH. I just need dates scheduled, so that I can plan ahead accordingly. So if we can get some wheeling/wrenching dates setup that would be great with me. I would schedule the dates, but I don't like to be that guy that schedule stuff then backs out. If I can make the scheduled dates I will and I will do my best to do so.

On the holiday thing....I think it sounds like a good idea but chances of me personally making something like that would be impossible. Families in 2 cities and work partys for 2 people sandwhiched between tgiving and NYE.

my .02

btw...I would like to assist others in working on their trucks b/c of the great help that I have gotten with both of mine. Who wants to help with an OME lift for my 80

Jason,

Just to clarify also...I'm only here as a resource. TLCA has me listed with no club affiliation and will gladly offer input and advice on a broader platform if needed but I'm not a member of this chapter.

With that said...good luck to you guys in defining this club and it's direction.

Just seeing you take the lead makes me smile

I'll do what I can to get to meetings/wrenching/wheeling. I was kidding about the OME unless people really wanna help but it can't be to awful difficult with some rusted bolts. It is hard to work in your own driveway with your 2 year old daughter wanting to help.

Oh and I think we should schedule meetings around the campfire after wheeling.
Places to wheel somewhat around here.....Badlands, Slade KY, Livingston KY, Swiss WV, Raush creek(8-10 Hours from Cincy??) Tellico, Winrock TN, Wellesville? macAuthur(is this still open?)

TLCA events sound great and I would like to hit at least one a year but $100-150 an event is a fair amount of coin. Not saying it's not worth it, but it's hard for me to justify with the boss. Especially by the time you add $100 for gas, lodging, food blah blah

Maybe we could schedule something with the Hoosier cruisers to hit the Badlands and the Bluegrass Cruisers to goto Slade or Winrock or Livingston

I don't know where any closer local trails are.

Too late, you spoke up.. That wasn't meant as a slam...just a place to set the bar is all. Jason's outling and ambitious plan that is easy doable with the commitment of folks willing to do more than just wheel.

If n' this club is going to be a "wheelin" club..that's fine..then the message board will do for just organizing..

But what Jason is outling is along the lines of the TLCAs goals and we are a car club that does more than just wheel and takes more of a commitment to offer something for everyone.

Well I am not a member yet but hope to be at some point.
I am a member of Wasatch Cruisers now, It is a pretty regimented club with lots of bylaws and membership requirements and required trail runs and meetings and ..............
Keep it simple. Lets get together when we can.

One thing they do here is the second thursday of every month is a meeting night, Either a tech event or a social event, usually every other month is tech or social. This way people can plan ahead and know that they will have something on that night. The other thing is the set one weekend (usually the second) in the month for a wheeling trip. The pres and such will ask for volunteers to lead a trip anywhere the club want's to go. IE whoever wants to go somewhere and wheel can plan the trip on behalf of the club.

Again not trying to step on toes here, I am not a memeber yet, I will be involved as much as I can between work and my son, These are just some ideas to help simplify the process and take some of the workload off of the pres.

Dave,

this is exactly the kinda input we need other than the typical "I just want to wheel" responses..

Thank you. I think what we are trying to balance is the "keep it simple" but still able to keep it a functional TLCA chapter with little commitment as possible.

Again, Welcome...
